- Q: What is in the “leader’s folder”?
A: We provide the leader a folder containing an introduction/guideline letter, a copy of frequently asked questions and answers sheet, pictured sales brochure, individual order form, master order form, current costs and suggested sales prices, and our business card.
- Q: What dates are best for the sales campaign?
A: Sales dates are influenced by fruit harvest dates. Apples and pears are ready in October-February, while grapefruit and oranges are available late November-February. An ideal sales program would begin mid-September through October. The consolidated order could then be confirmed/faxed to Quail Valley Farms two to four weeks prior to the expected delivery date.
- Q: What happens if we decide to have the fundraiser?
A: Call Quail Valley Farms and let one of our staff members help guide you through the fundraising process. We will send you free color sales brochures and order forms for each member in your group and offer the leaders 24-hr. support. We will also send you a pricing agreement to sign and fax back. The pricing agreement locks in your cost per unit before your sale starts.
- Q: How long should our sales campaign be?
A: Generally you should run the campaign from two to six weeks, and then give yourself a week to accumulate the final order before confirming with Quail Valley Farms.
- Q: What is my profit margin?
A: We suggest that you mark up each item $5 to $7 for your profit and transportation from Medford. The prices you will pay for each item are firmed up in early September before the sales start and are verified in the pricing agreement.
- Q: What are transportation costs?
A: Transportation costs will be the freight charges for getting your order from Medford to your chosen drop-off point. If you have a member of your team who can pick up your order, then your transportation cost will be zero. A full truckload to Roseburg or Klamath Falls may cost around $0.21/box, a truckload to Eugene would cost around $0.29/box while a truckload to Portland would be around $0.38/box.
- Q: What is the minimum order?
A: If you live within 50 miles of Medford, Oregon or plan to pick up your own order, we require a 200 carton (approximately 1-2 pallets) order. Outside the 50 mile radius, Quail Valley Farms will require a minimum 500 carton (approximately 4 pallets) order for us to have product delivered to your site. Keep in mind that most groups can sell a full truckload (20 pallets) or more.
- Q: Can we still use Quail Valley Farms if we are not in the Pacific Northwest?
A: Yes, but we will want to verify the shipping charges and discuss items sold ahead of time.

- Q: How will we know the delivery date?
A: When placing your order with Quail Valley Farms, a preliminary delivery week will be established. As the orange and grapefruit harvests begin, we will be in contact with your leader to firm up the delivery date and time. Full truckloads are easier to deliver on specific dates. Partial loads need to be combined with other orders to control freight costs and offer you a larger profit margin.
- Q: Do we have to sell all items in the program?
A: You can sell everything or just one item, the choice is yours. We can provide the full selection brochure or brochures for individual items. Apples and pears can each deliver as early as October and run through February. Oranges and grapefruit start in late November and run through February.
- Q: How is the fruit shipped?
A: The fruit is packed in corrugate cartons and shipped on pallets in a refrigerated truck.
- Q: Who is responsible for unloading the truck?
A: Your organization is responsible for unloading the truck. Upon arrival, volunteers from your team will need to be ready to unload your order. The number of volunteers required depends on the size of your order. If you have a loading dock and fork lift or pallet jack, the task is much easier. Many of the trucks our main carrier owns have electric lifts on the back of the truck so only a pallet jack is needed. We will discuss the situation with you prior to shipping. Be very organized when unloading the truck and distributing the fruit. First, unload the truck and verify the count, then have the team leader sign the bill of lading before allowing any of your team to take product for delivery. Verify the distribution of product to each team member for delivery. If someone is absent, then a substitute will need to deliver their orders.
- Q: How long will the product last?
A: All the fruit has been harvested and stored at ideal temperatures. The length of shelf-life depends on how close you can store the fruit at the ideal temperature, as well as maintaining good clean air circulation.

A: Payment is due at the time of delivery unless other arrangements have been made. We will accept a cashier’s check or a check from your organization.
